NEOC - Billing, Cancellation & Changes Policy
If you register before February 1st:
A deposit of $100 per week of camp will be charged at time of registration. For the balance, you have three choices:
- ACH 1 Payment (save 2.5%): Pay your camp balance in full in one payment on February 23rd.
- ACH 3 Payments (save 2.5%): Pay your camp balance in three equal payments - January 23rd, February 23rd, and March 23rd.
- Credit Card: The full balance due, less your deposit, will be charged on the credit card of your choice on March 3rd.
If you register between February 1st and April 1st:
A deposit of $100 per week of camp will be charged at time of registration. Your balance due will be charged 30 days from the time of your registration. You can save 2.5% if you choose to pay by ACH.
If you register after April 1st:
A deposit of $100 per week of camp will be charged at time of registration. Your balance due will be charged on May 2nd. You can save 2.5% if you choose to pay by ACH.
If you register after May 2nd:
Full payment is charged at time of registration. You can save 2.5% if you choose to pay by ACH.
Camp weeks and programs may be changed at any time, subject to availability, up until the Thursday before that camp week. You can conveniently make your changes via your NEOC Orders Page.
Cancellation and Refund Policy For Camp Weeks and Bus
Regardless of the calendar date, you will receive a full refund if you cancel a registration within 24 hours of first making it.
Before January 15th
You will receive a full refund for any or all camp weeks you cancel.
Between January 15th and February 28th
You will receive a 100% NEOC credit, for any or all camp weeks you cancel, that you may use toward any camps or services.
Between March 1st and March 31st
You will receive a 75% NEOC credit, for any or all camp weeks you cancel, that you may use toward any camps or services.
Between April 1st and April 30th
You will receive a 50% NEOC credit, for any or all camp weeks you cancel, that you may use toward any camps or services.
Between May 1st and May 31st
You will receive a 25% NEOC credit, for any or all camp weeks you cancel, that you may use toward any camps or services.
June 1st and onward
No credits or refunds.
Cancellation and Refund Policy For Other Services (Early Drop Off and Extended Day)
By June 1st, a full refund will be issued.
Between June 1st and two weeks prior to the start of the service, a full credit will be issued.
Within two weeks of the start of the service, no refund or credit will be given.
Cancellation Policy for Missing or Incomplete Camper Forms
Camper forms are required by the State of Massachusetts. Families are asked to submit camper forms by May 4th. Families registering after May 4th are asked to submit camper forms within 48 hours. All camper forms are processed and reviewed by our nursing team, before being presented to the Board of Health in a meeting that takes place in early June.
Failure to submit fully complete camper forms by May 31st, including addressing any aspects of the camper forms that are flagged as incomplete, will result in the registration being canceled. A 25% NEOC credit will then be issued.
Families who register on or after June 1st have 48 hours to submit their camper forms. Failure to submit complete camper forms within 48 hours will result in the registration being canceled. No credit or refund will be issued.
What Information We Collect and How We Use It
To have a child participate in any of the programs offered on the site, they must be registered. Registration must be done by a parent or guardian. To register, you will need to provide personal information such as name, address, contact information and specific criteria (e.g., choice of camp and additional services) that is established for each program. You will also be asked to provide payment information such as credit card or ACH numbers. You will need to select a unique username and password to verify your identity for future access. This allows you to access and edit personal information that you have provided. Contact information is used for notification purposes (e.g., to confirm program registration) or when necessary for customer service. In addition, contact information of all camp families is shared with the Massachusetts Horticultural Society at the end of each camp season for the purposes of direct outreach. You can email email@example.com to have your contact information excluded. Payment information is used only to bill you for programs, products and services that you specifically request.
In addition to the disclosures described above, personal information about our users may be provided occasionally to outside auditors, consultants, and others we hire for routine website operations, to help us manage email communications with our campers, or for other standard business activities. We ask all recipients to agree to protect the confidentiality, security, and integrity of the information.
NEOC also utilizes Google Analytics Advertising Features, which may include Remarketing with Google Analytics, Google Display Network Impression Reporting and Google Analytics Demographics and Interest Reporting.
You may opt out of these Google Analytics Advertising Features by visiting https://tools.google.com/dlpage/gaoptout.
We may also release your child's name and/or picture to a media outlet or social media site, such as Facebook, Instagram, Snapchat, or Twitter, through a NEOC account. Through the Participation Agreement, by responding to a specific notice to parents and guardians or by emailing NEOC, you may request that your child's name and/or picture not be released or posted.
We use a variety of security measures to maintain the safety of your information. All information we collect is stored in a secure database which is protected by a firewall in an environment that is monitored and is not accessible by the public. We use secure socket layers (SSL) encryption for all data transferred to/from our servers.
This policy statement has a version number and date. NEOC reserves the right to change, modify or update this policy at any time without prior notice. If we change the policy, we will also change the version number and date so users can tell that a change has been made. We may make minor changes from time to time as our services change, as our relationship with other partners develops, and as the Internet evolves. If we make a significant change in the way in which we collect, use, or disclose personal information, we will notify registrants of the change.

Registration and Password
You are responsible for maintaining the confidentiality of your login ID and password ("Registration"). You are responsible for all uses of your Registration, whether or not authorized by you. You agree to immediately notify NEOC of any unauthorized use of your Registration.
NEOC will own all rights, title, and interest, including all related intellectual property rights, to any suggestions, ideas, feedback, recommendations, or other information provided or otherwise published on this Site (“Submissions”). You agree to assign such Submissions to NEOC free of charge. NEOC may use such Submissions, as it deems appropriate, in its sole discretion.

You further agree and expressly consent to the exercise of personal jurisdiction in the Commonwealth of Massachusetts in connection with any dispute or claim involving NEOC. You agree that any cause of action arising out of this agreement shall commence within one year after the cause of action arose; otherwise the cause of action is permanently barred.
The failure of either party to insist upon or enforce strict performance by the other party of any provision of the Terms of Service or to exercise any right under the Terms of Service will not be construed as a waiver or relinquishment to any extent of such party's right to assert or rely upon any such provision or right in that or any other instance; rather, the same will be and remain in full force and effect.
NEOC may assign its rights and obligations under these Terms of Service and upon such assignment NEOC may be relieved of any further obligation hereunder.
NEOC reserves the right to charge fees, surcharges and/or membership fees at any time.
You represent to NEOC that you have the authority to register according to these Terms of Service.
New England Outdoor Camps, LLC is licensed by the local board of health in accordance with state regulations.
All children must be registered for a specific camp to participate.
All children must leave upon completion of their camp day at NEOC.
